Designing an attendance policy that software can operate clearly

Define who each rule applies to

Segment by location, shift type, role, employment model and approved work arrangement. Avoid a single policy that relies on informal exceptions for half the workforce.

Separate capture from approval

A punch, mobile check-in or device record is an input. Define when it becomes approved attendance, who can regularise it and what evidence is required.

Make exceptions explicit

Document grace, late arrival, early departure, missed punches, outdoor duty, weekly off, holiday work, overtime and compensatory-off rules with cut-offs and escalation.

Connect payroll impact carefully

Agree when incomplete attendance becomes loss of pay, when retrospective correction is allowed and how adjustments are recorded in a later cycle.

Test representative cases across shifts, overnight work, transfers, new joiners, holidays and device outages before launch.
